Job Description

The PepsiCo Law Department’s Information Technology (IT) Legal Team is seeking a highly skilled and talented Administrative Assistant. The position is located in Plano, Texas and is responsible for providing administrative support to the IT Legal Team.

Responsibilities Include:

  • Work with colleagues and executives to schedule meetings and proactively manage calendars both domestically and internationally
  • Coordinating travel arrangements (domestic and international) which includes the preparation of visa travel documents, as warranted
  • Coordinate and plan staff meetings and other team gatherings
  • Preparing and handling highly confidential and proprietary information
  • Preparing and reconciling T&E reports in Concur and P-Card as appropriate
  • Maintaining forecasting and accruals for multiple budgets
  • Maintaining content, accuracy and visual organization of files (or informational databases)
  • Organizing, maintaining and procuring office supplies
  • Manage, update and organize team documents, records, mail and correspondence
  • Managing team projects as assigned
  • Interfacing appropriately with many internal and external clients and senior executives, including IT’s Executive Committee
  • Assist with ad hoc projects and assignments

Qualifications/Requirements

  • Minimum of 3 years - 10+ years of administrative experience in law firm or legal department)
  • Prior experience supporting senior executives/attorneys
  • Handling of multiple tasks with multiple (6) team members
  • Proficiency in handling forecasting and budgeting
  • Excellent written and oral communications skills
  • Must be highly organized, pay close attention to details and proactively follow-up
  • Ability to anticipate needs and issues and act accordingly in addition to exhibiting good judgment
  • Proficiency using Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and on-line outside counsel billing technologies (CounselLink)
  • Must have strong interpersonal, time management, and problem-solving skills
  • Ability to make clear and timely decisions, develop a work schedule, set goals, and create/implement actions plans to monitor progress
  • Must display professional maturity and ability to support and interact with all levels of management
  • Proficiency with business technology (e.g. telepresence, Skype, SAP, portals, etc.)
  • Proficiency in the use of office equipment such as computer, voice messaging and digital multi-functional devices (fax/copies/scanner/printer)
