We are currently looking for applications for a 9-month contract role as Administration Assistant to Research and Development Group in our Littleisland plant.

We are the concentrate team in PepsiCo (PGCS) working across the Beverage, Nutrition and Snacks categories to deliver concentrate for many of PepsiCo’s mega brands including Gatorade, 7Up and Pepsi. Applications are invited for a 9-month contract position as Administration Assistant to the Research and Development Group (Concentrate and ESSA Beverages) - to provide general administrative support and maintain the Group’s systems and services as required.

The key accountabilities for this position include, but are not limited to, the following:

  • Provide administrative and reception support for the R&D Teams and Directors
  • Act as communications point of contact for R&D Team and Directors and furnish/obtain information on behalf of Directors as instructed.
  • Provide induction on administrative systems and processes to new employees.
  • Assist with management of the R&D AOP OPEX and CAPEX budgets by working closely with R&D Manager Group, Finance Team and R&D Directors
  • Process all Purchase Requisitions on SAP for the R&D Team for both Opex and Capex. Ensure invoices are processed within agreed timelines.
  • Provide proactive calendar management, travel requirements and processing of T&E expenses for R&D Directors
  • Organise and maintain files of R&D department and Director correspondence and records, following up on pending matters as required.
  • Schedule / organise meetings as necessary and manage minutes for key reviews, and support setup/arrangements for conferences and visitors for R&D group as needed.
  • Prepare reports or power point presentations as needed by R&D Directors.
  • Manage weekly time and attendance and holiday balances for Teams.
  • Ensure the following activities are organised:
  • Ordering of materials/consumables/office supplies and stationery
  • shipping and freighting to support R&D activities
  • sorting of post on daily basis for department.
  • Act as liaison to maintenance requirements of the dept, office and conference room facilities.
  • Participate as requested by R&D team to assist with suitable work that needs assistance in order to complete on time and to required standards.
  • The role requires the job incumbent to be flexible and to carry out additional duties as requested that might not be included in this list of job responsibilities.

The profile of candidate will also be/have:

  • An experienced Administrator with a proven track record providing support to a senior leader/team, ideally within a multinational environment
  • Systems savvy (including MS Office Suite, SAP, CORE etc. or equivalent).
  • Excellent organisation and communications skills (written and verbal English) to professionally deal with internal and external stakeholders across levels.
  • Ability to multitask and prioritise diaries, tasks and demands concurrently and professionally, with impeccable attention to detail.
  • A self-starter, able to work without close direction and anticipate and prepare requirements for meetings and travel in advance.
  • A highly collaborative approach with a strong sense of teamwork and willingness to work with colleagues and other departments, in support of organisational objectives.
  • A strong problem solver in the dissemination of information or management/organising of logistics of travel or meetings and events. Sound judgment and decision-making when dealing with unexpected issues, while maintaining appropriate confidentiality.
