Job description: DOT Safety Coordinator
This position provides DOT record keeping, clerical, and administrative support to assigned locations within the Arkansas Market.
Primary Accountabilities:

  • Support DOT record keeping duties for assigned locations
  • Provide support to Delivery teams for closing Hours of Service (HOS) Exceptions
  • Maintain and file DOT records such as DQ Files, Hours of Service records, grid logs, vehicle condition reports (file/purge according to regulation)
  • Review DOT documents to ensure proper completion
  • Scan, upload, and file document to outside approved vendors
  • Support Delivery Supervisors with reporting tasks, as needed
  • Generate forecast report to inform Area/Locations/Market of upcoming needs for renewing DOT Documents
  • Communicate with respective management teams on DOT issues/concerns
  • SME to coach/train management teams on correct DOT processes
  • Manage DOT Driver Inventory and Vehicle Inventory for Locations/Market
  • SME/DER for DOT Drug Testing for Locations/Market (including Pre-placement, random, Post-Accident, and Follow-up testing)
  • Track/file DOT Roadside Stop Inspection activities and documents
  • Track/file DOT Accident Reporting activities and documents
  • Support New Hire On-boarding activities for DOT employees
  • Provide materials for Period Safety Training to Locations/Market
  • Assist with DOT self-assessment and participate in GTM Audit processes
  • Participate in conference calls, as required
  • Create spreadsheets and reports, as required
  • Additional reporting tasks, as needed
  • Additional administrative tasks, as needed
  • Serve as backup coverage for other locations in Market
  • Travel maybe required to support multiple locations
  • Additional duties as needed


Qualifications/Requirements: Basic Qualifications

  • Minimum 3 years’ experience in an administrative role
  • Excellent interpersonal and communication skills with people at all levels of the organization, external customers, and contractors
  • Demonstrated organizational skills, and ability to handle multiple projects
  • Proficient with Microsoft Office applications: Outlook, Excel, Word and PowerPoint
  • Excellent follow-up skills, attention to details and accuracy
  • Ability to prioritize work and multi-task with a strong sense of urgency
  • Sensitivity to confidential information
  • Excellent written and verbal communication skills
  • Requires creative thinking and problem solving skills
  • Respects and values differences, acts with integrity and operates with principles
  • High School Diploma or GED equivalent
Helpful Experience:
  • Basic knowledge of DOT regulations
  • Basic knowledge of existing PBC systems (i.e. FADV, FirstLab Client Portal, eDOT)
