Job Description

This position is the main administrative support for the Senior Vice President of Global Talent Acquisition, in addition to our HR Chief of Staff.

Responsibilities include but not limited to:

  • Maintain daily calendar for SVP, own the scheduling process for all meetings, and work across PepsiCo organization to resolve scheduling conflicts
  • Coordinate domestic & international travel
  • Manage & administer travel and entertainment expense reporting for SVP
  • Maintain confidentiality and professionalism in the handling of sensitive and confidential information and documents, including HR system transactions/approvals
  • Plan & organize Global TA team meetings/events, including correspondence and logistics
  • Interact frequently with PepsiCo Senior Executive Staff assistants as well as PepsiCo Executives and external entities
  • Polished communication skills; proven ability to effectively communicate with individuals at all levels within the organization
  • Meet & greet candidates, vendors and visitors as needed
  • Organize & maintain files and supplies
  • Additional ad hoc duties and projects as assigned, included but not limited to
  • Global TA Invoice Submission & Tracking (30% of the role)
  • Candidate T&E reimbursements - currently owned by one of our TAC’s in WP (20% of the role)
  • Global TA Org Chart and DL maintenance
  • New Hire Org Announcement Distribution
  • Monthly Birthday and Service Anniversary communications
  • LinkedIn Recruiter Seat Assignments
Sends email acknowledgements to US Exec Referrals and unsolicited applicant/agency submissions

Qualifications/Requirements

  • 2-5 years of administrative support work experience in a Corporate environment
  • Degree: BS or BA preferred
  • Strong interpersonal skills, coupled with the ability to effectively network and partner throughout the organization
  • Demonstrate problem-solving and planning skills with the ability to plan, prioritize and execute various tasks and projects
  • Must have knowledge of Microsoft Word, Excel, Outlook and PowerPoint and the capacity to quickly learn other technologies needed (ie. HR systems & SAP)
  • Ability to handle multiple priorities while still maintaining a high level of quality and accuracy
  • Strong organization skills and financial acumen are a must
  • Ability to work autonomously/be self-motivated
  • Experience managing and reconciling budgets a plus
