General Summary:
This Administrative Assistant position contributes to the success of PepsiCo Beverages Canada by providing general administrative support to both the Foodservice and Retail Divisions based out of the Calgary facility.

Major Tasks, Key Responsibilities and Key Accountabilities:

  • Provide administrative support in a professional, confidential and organized manner for Foodservice and Retail
  • Monitor e-mail and phone calls; proactively respond to and/or coordinate issues when possible
  • Organize/maintain department files, both electronic and hard copy
  • Daily interaction with all Functional Teams
  • Maintain high level of integrity and professionalism in handling confidential material on a daily basis
  • Ability to work proficiently and calmly under pressure situations
  • Manage and administer specific applications/processes (AP, ESC, ERT, FFP, Masterfiles,) in an accurate and timely matter
  • Become proficient in a multitude of systems created by PepsiCo to manage Contracts, Suppliers, Deductions, Cheque Creation & Voids, Journal Entries, etc.
  • Capable of creating customized actionable market reports using pivot tables, advanced formulas or macros
  • Work on special projects as necessary
  • Coordinate the administration and management of Retail Contracts for Western Canada to ensure payments are processed within strict deadlines
  • Process multiple invoices on strict deadlines
  • Show strong attention to detail, organization and communicate effectively with internal and external customers in a fast-paced environment
  • Demonstrate self-motivation and initiative
  • Demonstrate strong computer skills in Outlook, Word, Excel, and PowerPoint
  • Provide support in creating presentation materials (PowerPoint) as required
  • Process travel and AMEX/VISA expenses
  • Organize meetings and travel arrangements
  • Assist in Location Specific initiatives and work with the Retail Analyst when required
  • Provide administrative support including running reports, filing and general accounting needs as required


  • Successful completion of a High School Diploma
  • Post-secondary education is an asset
  • Previous 3-5 years administration experience required
  • Ability to work in a fast paced environment required
  • Intermediate skills using Microsoft Office (Outlook, Word, Excel, PowerPoint) required
  • Previous experience in Contracts/Agreements and as an Administrator for a Sales Team is an asset
  • Previous Customer Service Experience is an asset
  • Demonstrate tact, highest integrity, maturity, professionalism, and respect for others (internal and external)
  • Must be strong team player and assist other departments as needed
  • Willingness to learn and take on projects
  • Ability to handle multiple changing priorities simultaneously in sometimes challenging situations, keeping management involved as needed
  • 2+ years’ experience Admin Support
  • Bachelor Degree preferred
  • Detailed knowledge and experience in Microsoft Word for Windows, Power Point, Excel, and Outlook
  • Ability to become proficient in multiple IT applications
  • Experience in prioritizing work and multi-tasking - Strong sense of urgency
  • Outstanding organizational and follow-up skills - Sensitivity with confidential information
  • Excellent written and verbal communication skills
  • Requires creative thinking and problem-solving skills
